Account Portal Privacy Notice

This Privacy Notice applies to the Veterinary Pharmaceutical Solutions (“VPS”) account portal (“Portal”) and governs the collection, use, and retention of personal information submitted by authorized users in connection with account registration and prescription order submission. This Privacy Notice supplements the VPS Website Privacy Policy, which governs the public-facing website at veterinarypharmaceuticalsolutions.com. If you have not reviewed the Website Privacy Policy, please do so before using the Portal.
Access to the Portal is limited to authorized professionals and their designated agents, acting in a professional or business capacity, who have been granted account credentials by VPS. Personal information submitted through the Portal is collected in the context of this professional relationship. Where a business-to-business or professional-context exemption or limitation applies under applicable privacy law, the rights and obligations described in this Privacy Notice apply only to the extent required by law.
By accessing and using the Portal, you acknowledge that you have read and understood this Privacy Notice.
Who This Privacy Notice Applies To
This Privacy Notice applies to:
- Authorized professionals who hold an active Portal account; and
- Designated agents authorized to act on behalf of an account holder in connection with prescription submission and order management.
Information We Collect
Account Registration
When you request a Portal account, you will be asked to provide certain account registration information, including the following:
- Name (first and last)
- Username
- Email address
- Phone number
- Veterinary license number
- State(s) of licensure
- Notification preferences and notification email address
Account requests are reviewed and activated by VPS staff. Your information is held pending verification from the time of submission. Until your account is activated, you will not have access to Portal services.
Prescription Order Submission
When you submit a prescription order through the Portal, we collect certain information, including the following:
- Bill-to address
- Prescriber address
- Animal location
- Ship-to address
- Animal type and herd size
- Prevention or treatment details
- Medication
- Directions for use and route of administration
- Quantity
- Duration of treatment
- Withdrawal time
- Confirmation name and phone number
- Veterinarian name, PIN, and electronic signature
Additional optional fields may be presented at the time of order submission to support specific order requirements. Optional fields are collected only if you choose to provide them. If VPS introduces optional fields that collect a new category of personal information, VPS will provide any notice and update this Privacy Notice as required by applicable law.
Information About Others
Where a designated agent submits or manages orders on behalf of an account holder, VPS also collects the agent’s identifying and contact information, such as name and phone number, for the purposes described in this Privacy Notice.
In connection with account registration and prescription order submission, you may provide personal information about individuals other than yourself, such as designated agents, animal owners or caretakers, ship-to or bill-to recipients, and other practice personnel. By submitting such information, you represent that you have the authority to provide it and to permit VPS to use it for the purposes described in this Privacy Notice, and, where required by applicable law, that you have provided any necessary notice to, or obtained any necessary consent from, those individuals.
Sensitive Personal Information
VPS does not collect Portal information for the purpose of inferring characteristics about you. Certain information collected through the Portal, such as your account credentials, PIN, and electronic signature, is used solely to authenticate your identity, secure your account, and verify prescription orders. To the extent any such information is considered sensitive personal information under applicable privacy law, VPS uses it only for these purposes and the other purposes described in this Privacy Notice, and not for any purpose that would trigger a right to limit its use and disclosure.
Order and Account Activity
The Portal maintains records of prescription orders submitted through your account, including order history and status. This information is associated with your account and retained by VPS.
CCPA Notice of Categories of Personal Information
To the extent the California Consumer Privacy Act, as amended ("CCPA"), applies to your use of the Portal, VPS collects the personal information described throughout this Privacy Notice directly from you when you register for and use the Portal. This personal information corresponds to the following statutory categories under the CCPA: identifiers (such as name, username, email address, and phone number); professional or employment-related information (such as veterinary license number, state(s) of licensure, PIN, and electronic signature); and commercial information (such as prescription order history and order status). VPS uses each category of personal information solely for the business purposes described in this Privacy Notice and discloses personal information only to the categories of recipients described under "Third-Party Sharing" below. VPS does not sell or share personal information as those terms are defined under the CCPA. Where your access to and use of the Portal is governed by a separate data processing agreement or other written agreement between you (or the entity you represent) and VPS, that agreement governs the processing of personal information and controls in the event of any conflict with this Privacy Notice.
How We Use Your Information
VPS uses the information collected through the Portal for the purposes described in this Privacy Notice, including the following:
- Verifying your professional credentials and activating your account
- Processing and fulfilling prescription orders you submit
- Maintaining records of prescription orders as required by applicable law
- Communicating with you regarding your account, orders, or account-related matters
- Supporting order status inquiries and customer service requests
- Ensuring the security and integrity of the Portal
- Complying with applicable laws, regulations, legal process, and government or regulatory requests
- Establishing, exercising, or defending legal claims, and otherwise protecting VPS’s legal rights and interests, including in connection with actual or anticipated disputes
- Enforcing our terms, policies, and agreements, and detecting, investigating, and preventing fraud, misuse, or other unlawful or unauthorized activity
VPS does not use Portal data for marketing, advertising, analytics, or any purpose unrelated to uses described in this Privacy Notice. For information about the cookies and similar technologies used to operate the Portal, see "Cookies and Similar Technologies" below.
Because certain communications are necessary to operate your account and process your orders, VPS will send you transactional and service messages, such as account, order, and order-status notifications, for as long as your account remains active. These service communications are part of the Portal and are not promotional, and you cannot opt out of them without deactivating your account.
VPS may create de-identified or aggregated data derived from Portal information. Such data does not identify any individual account holder or agent, and VPS maintains and uses it only in de-identified form and will not attempt to re-identify it, except as permitted by applicable law.
How We Store and Protect Your Information
All Portal data is stored and processed in VPS-controlled systems located in the United States. VPS does not transfer Portal data internationally except as necessary for the service providers described in this Privacy Notice to perform services for VPS, and any such processing is subject to appropriate security safeguards.
VPS takes reasonable technical and organizational measures to protect your information from unauthorized access, loss, misuse, or alteration. Access to Portal data is limited to VPS personnel who require it to perform their job functions. Personnel with access to Portal data are required to maintain its confidentiality. In the event of a data breach affecting your personal information, VPS will notify affected users and applicable authorities as required by applicable law.
Third-Party Sharing
VPS does not sell, rent, trade, or otherwise share Portal data with third parties for commercial purposes. Portal data is not disclosed to third parties except in the following limited circumstances:
- As required by applicable law, regulation, court order, or government request
- To protect the rights, property, or safety of VPS, its users, or others
- In connection with a sale, merger, or transfer of substantially all of VPS’s assets, in which case Portal data would transfer as part of that transaction
VPS may also disclose Portal data to service providers that perform functions on VPS's behalf, such as secure hosting, order fulfillment and shipping, and communications delivery. Such service providers are permitted to use Portal data only as necessary to perform services for VPS and are bound by contractual obligations consistent with applicable law, including CCPA service-provider requirements.
VPS may also share Portal data with its subsidiaries and affiliated companies. Such subsidiaries and affiliated companies will handle Portal data in accordance with this Privacy Notice and will use it only for the purposes described in this Privacy Notice. Any such sharing is for these purposes only and does not constitute a sale or sharing of personal information as those terms are defined under the CCPA. The strictly necessary cookies and similar technologies used to operate the Portal do not involve the sale or sharing of Portal data, and any third parties that support these technologies act only as service providers on VPS’s behalf, as described under “Cookies and Similar Technologies” below.
Data Retention
VPS retains prescription order records and associated account data for the period required by applicable pharmacy law and regulations. Where no specific legal retention period applies, VPS retains personal information only for as long as necessary to fulfill the purposes described in this Privacy Notice, based on criteria including the duration of the account relationship, the nature of the data, and applicable legal, regulatory, and recordkeeping obligations. Account information is retained for the duration of the account relationship and for such additional period as may be required by law.
If your account is deactivated or terminated, prescription records and order history are retained in accordance with applicable legal retention requirements regardless of account status. Deactivation of your account does not affect VPS’s obligation to retain records as required by law. Where personal information is not subject to a legal retention obligation, VPS will honor a valid request to delete it, subject to the exceptions permitted under applicable law, and will delete or de-identify personal information once it is no longer needed for the purposes described in this Privacy Notice or required to be retained by law.
Your Rights
To the extent applicable state privacy laws provide you with these rights, you may request access to, correction of, or deletion of personal information VPS holds about you in connection with your Portal account, and, where applicable, request to limit the use and disclosure of sensitive personal information, in each case subject to the exceptions and limitations provided under such laws, including applicable legal retention requirements. To exercise any of these rights, you may contact us using the information on our Contact page at veterinarypharmaceuticalsolutions.com or by emailing the account support address associated with your account. VPS will verify your identity before acting on a request, may need to confirm your identity against information already associated with your account, and will respond within the timeframes required by applicable law. VPS will not discriminate against you for exercising any of these rights.
If VPS declines to act on your request, we will explain the reason. Where required by applicable law, you may appeal that decision by contacting us using the information on our Contact page, and we will respond to your appeal within the timeframe required by law.
California residents additionally have the right to know what personal information has been collected, disclosed, or sold, including the categories described under "Categories of Personal Information" above; the right to correct inaccurate personal information; the right to delete personal information, subject to legal retention requirements; the right to limit the use and disclosure of sensitive personal information; the right to opt out of the sale or sharing of personal information; and the right to non-discrimination for exercising these rights. VPS does not sell or share Portal data for commercial purposes.
Account Security
You are responsible for maintaining the confidentiality of your account credentials, including your username, password, and any authentication codes or security identifiers associated with your account. You should not share your credentials with any person who has not been designated as an authorized agent on your account. If you believe your account credentials have been compromised, please contact VPS immediately using the information on our Contact page at veterinarypharmaceuticalsolutions.com.
You are responsible for managing the designated agents authorized to access your account and for ensuring that each agent is authorized to act on your behalf. You should promptly notify VPS to remove or disable access for any designated agent who is no longer authorized, and you remain responsible for activity conducted through your account, including by your designated agents.
You are responsible for ensuring that the information associated with your account, including your professional license information and contact details, remains accurate and current. Please update your account information or contact VPS if any of your information changes.
Cookies and Similar Technologies
When you use the Portal, VPS may store small text files, known as “cookies,” and use similar technologies on your device. A cookie enables the Portal to remember your actions and preferences so that you do not have to re-enter them each time you return. The cookies and similar technologies used on the Portal are strictly necessary to operate the Portal and provide the services you request, and support essential functions such as maintaining your logged-in session, authenticating your identity, remembering your preferences, and preserving the security and integrity of the Portal.
Do Not Track and Opt-Out Preference Signals
Because the Portal does not use advertising, marketing, cross-site tracking, or analytics technologies, and because VPS does not sell or share personal information, VPS does not alter its practices in response to browser “Do Not Track” or Global Privacy Control signals. The Portal responds to such signals only to the extent required by applicable law.
Changes to This Privacy Notice
VPS may update this Privacy Notice from time to time. If we make material changes, we will notify you through the Portal or by email to the address associated with your account. Your continued use of the Portal after receiving notice of changes constitutes your acceptance of the updated Notice.
